Privacy Policy
What KAVIN INTERNATIONAL collects, why, and what it never sees. The short answer: your accounts stay on your own PC and we do not receive them.

Your accounting data never reaches us
Vertex ERP is a program that runs on your Windows PC or Mac and stores your books in a folder on that machine. Your ledgers, invoices, parties, items, GST returns and everything else stay there. We have no copy, no access and no way to read them. Nothing about your accounts is uploaded anywhere as part of normal use.
That is a property of how the software is built, not a promise about how carefully we behave.
What we do receive
- Licence activationWhen you activate a key, our licence server records the key, a fingerprint derived from the PC, the version and the date. The fingerprint is a number computed from the machine; it is not your name, and it cannot be turned back into anything about you. It exists so a licence sold for one PC is used on one PC.
- Update checksThe software asks our server which version is current. That request carries your IP address and the version you are on, as any web request does.
- What you send usIf you use Contact Support inside the software, or write to us by email or WhatsApp, we receive what you send: your message, your name and the address you sent it from, and a diagnostic log if you attach one.
- The diagnostic logIt records what the program did, not what you keyed. It is redacted before it leaves your PC, it is stored beside the settings rather than beside your books, and you can read it yourself before sending it.
This website
Our hosting keeps ordinary web server logs — the address requested, the time, the IP it came from — which is how any website works and how we see whether the site is up.
We set no advertising cookies and run no analytics or tracking scripts on this site. If that changes, this page will say so before it does.
Payments
Payments are taken by Razorpay, which handles the checkout on its own systems. Your card number, UPI ID and bank details go to Razorpay and never touch our server. We receive confirmation that a payment succeeded, the amount, and the name and contact details you gave — which is what we need to issue your licence and your invoice.
Razorpay handles that data under its own privacy policy.
Who else sees any of it
Nobody, other than the companies that run the machinery: our web hosting provider, Razorpay for payments, and the email service that carries our messages. We do not sell your information, we do not share it for advertising, and we do not pass it to anybody who asks.
We would disclose information if the law required it of us.
How long it is kept
Licence and activation records are kept while your licence is live and afterwards for as long as we may need them for tax and accounting purposes. Support conversations are kept so that the next person who helps you can see what was said before. Web server logs are kept for a short period by our host.
What you can ask for
Write to support@vertexerp.co.in and you can ask what we hold about you, ask us to correct it, or ask us to delete it. Deleting your licence record ends the licence, so we will say so before doing it.
There is one thing we cannot do: give you a copy of your accounting data, because we do not have it. That is on your PC, and a backup taken from inside the software is the way to get it.
